How MailPing Works

Learn how to seamlessly generate, insert, and interpret your tracking links.

MailPing is an Intelligent Mail Tracking system designed for precise delivery and open confirmation across modern email environments. It works by injecting a remote tracking image URL into your email message.

MailPing works in any email application that supports inserting an image via a direct Web Address (URL). It has been extensively tested and optimized for the Gmail Web Interface and Mozilla Thunderbird.

Step 1 — Create a Tracking Link

After signing in, navigate to your dashboard and create a new tracking link.

  • Optionally assign a label for your own reference.
  • Click Generate Pixel URL.
  • Copy the generated image URL from the left panel.

Note: Each tracking link should be used for a single email message to ensure accurate reporting.

Step 2 — Insert the Link as an Image

MailPing requires the tracking link to be inserted as an image via Web Address (URL). Do not paste the link directly into the email body as plain text, or the tracking will fail.

Workflow A: Gmail (Web Browser)

  • Open Gmail and Compose a new email.
  • Click the Insert Photo icon at the bottom of the composer.
  • Select the Web Address (URL) tab.
  • Paste your tracking image URL into the field and click Insert.

Workflow B: Mozilla Thunderbird

  • Open Thunderbird and click Write to compose a new message.
  • Click Insert in the top menu bar, then select Image.
  • Paste your tracking URL into the Image Location field.
  • CRITICAL: Uncheck the box that says "Attach this image to the message" (this ensures it loads from the server).
  • Click OK.

Understanding the Timeline

MailPing provides a structured timeline of network events for each tracking link directly on your dashboard.

  • Link Activated — The tracking link was generated and tested within Gmail.
  • Link Inserted — The image was successfully embedded in your outgoing message.
  • Proxy Cache Check — Infrastructure-level image retrieval (typically a Google or Apple privacy proxy).
  • Email Opened — Confirmed image render event indicating genuine human engagement.

All activity is recorded and displayed in chronological order for technical transparency.

Important Notes

  • Your chosen email client must support remote image URL insertion.
  • Native mobile apps (like iOS Mail or Gmail Mobile) strictly sandbox file systems and generally do not support URL image insertion.
  • Signals originating from the sender’s own mailbox are automatically ignored by our engine.
  • Tracking links should not be sent to the same email address that created them.
  • MailPing is an individual utility and is not intended for bulk email marketing or automation platforms.
  • One tracking link per message is recommended for maximum accuracy.

Troubleshooting

  • If no activity appears, confirm the image was inserted via Web Address (URL), not as plain text.
  • If only proxy activity appears, the recipient has not opened the message yet. The system is just acknowledging that the email was successfully delivered to their network.
  • If multiple events appear, the timeline accurately reflects full network behavior across multiple devices or forwards.
